How Training Colour and the Clarity System handle personal information
Life Mode Fitness, operated by Jenkin Lee in Northampton, United Kingdom, provides Training Colour and the Clarity System in one professional workspace. Clarity includes Booking and optional Action Plans. This notice covers both systems. Contact hello@lifemodefitness.com with privacy questions or requests.
1. Who is responsible
The subscribing professional or business normally decides why its client information is used and is the data controller. Life Mode Fitness processes it to provide the selected product and is normally the data processor. Life Mode Fitness is the controller for professional accounts, billing, support, sales records, proportionate service analytics and service security.
2. Information collected
Training Colour can hold client identity and email, assessment answers, four preference scores, result, consent choice and coach notes. Clarity can hold identity and contact details, appointment times and status, messages and contact-attempt records, session balances, payment-method choice, consultation details, cancellation decisions, shared Action Plans and deliberate voice notes sent by a coach or client. Voice notes are never automatic call or appointment recordings. Older coach records may also contain optional age, sex or next-of-kin details entered before the streamlined client form was introduced. Shared-facility checks disclose only that a time is occupied, not client details.
Coach records can include account and business details, brand settings, notification and reply addresses, policy settings, optional phone number, calendar connection tokens and Stripe billing identifiers. Selected pilot professionals may also submit product ratings and written feedback through a private, one-use link. Stripe handles card details; Life Mode Fitness does not store card numbers. Twilio may process call-routing numbers, timing and duration when masked calling is enabled.
3. Why it is used
Information is used to provide assessments, reports, bookings, reminders, client portals, session balances, payment choices, calendar synchronisation, professional-client communications, optional voice messages, exports and deletion controls; and to secure, support and bill for the service. Pilot feedback is used to improve the tools. Feedback is published only when the person separately chooses anonymous, name-only, business-only, or name-and-business publication, gives explicit permission and Life Mode manually approves the response. A business website is linked only through a separate website permission. Private answers are not public testimonials. Training Colour also records anonymous journey stages such as a product view, assessment start and result completion using a short-lived random identifier. This does not include names, email addresses, questionnaire answers, IP addresses or advertising profiles. Marketing consent is separate and optional.
4. Legal basis
Professionals must identify and document their own lawful basis and provide suitable privacy information to clients. Life Mode Fitness relies mainly on contract for professional accounts and legitimate interests for proportionate security, fraud prevention and service improvement.
5. Sharing and transfers
Information is shared only with providers needed for the feature being used. See the subprocessors page. Some providers operate outside the UK; appropriate contractual safeguards should be used where required.
6. Retention
Unpaid checkout details stored before Stripe are deleted automatically after expiry. A coach or client can delete a voice note they personally sent; deleting the client record also removes that client’s Action Plans and stored voice-note audio. Professionals can export their other records and permanently delete individual client records at any time. Anonymous Training Colour journey events are used only in aggregate and retained for up to 12 months. Active-account records are reviewed when they reach 24 months of inactivity rather than deleted without warning, because a professional may still have a lawful retention need. On account closure, professionals should export required records and request closure at hello@lifemodefitness.com; remaining client data is then scheduled for deletion within 30 days, subject to limited legal, billing and security records and normal backup cycles.
7. Rights and choices
Clients choose whether to participate in an Action Plan and whether to record each voice note. They can ask their professional to access, correct, export, restrict or delete their information. Professionals can export product data and permanently delete individual client records. Pilot professionals can keep feedback private, choose anonymous or named publication, and withdraw publication permission by contacting hello@lifemodefitness.com. Account-wide requests can be sent to the same address. Calendar access can be disconnected in Clarity settings.
8. Security and contact
Coach workspaces are separated, public links use unguessable tokens, sensitive client checkout details stay out of Stripe metadata, and browser security controls are applied. No online service can promise absolute security. Questions or complaints can be sent to hello@lifemodefitness.com or to the UK Information Commissioner’s Office.
