Controller–processor agreement

These terms apply between the subscribing professional or business (Controller) and Life Mode Fitness, operated by Jenkin Lee in Northampton, United Kingdom (Processor), for whichever of Training Colour and the Clarity System the Controller uses. 1. Scope and duration

Life Mode processes client information only to provide the selected service during the trial or subscription and the limited export and deletion period afterwards.

2. Processing

Training Colour processing covers identity, contact, assessment, preference result, consent and professional review information. Clarity processing covers identity and contact, optional profile and next-of-kin details, appointments, communications, session balances, policy decisions, consultations, Action Plans, deliberately submitted voice notes and calendar synchronisation. Operations include collection, storage, retrieval, organisation, audio delivery, email delivery, export and deletion.

3. Instructions and responsibilities

Life Mode follows the Controller’s documented instructions, including ordinary product actions, unless UK law requires otherwise. The Controller is responsible for lawful collection, transparency, fair policies, suitable use and responding to clients.

4. Confidentiality and security

Access is limited to people and providers who need it. Life Mode uses workspace separation, protected accounts, restricted public tokens, data minimisation and reasonable technical and organisational safeguards.

5. Subprocessors

The Controller gives general authorisation for providers on the subprocessors page. Material changes will be published where reasonably possible. Life Mode remains responsible for legally required subprocessor obligations.

6. Assistance and incidents

Life Mode will provide reasonable assistance with data-subject requests, impact assessments, regulator enquiries and security incidents, and notify affected Controllers without undue delay after becoming aware of a relevant personal-data breach.

7. Return, deletion and audit

Coaches can export and delete individual records. Remaining client data will normally be deleted within 30 days after service ends unless law requires retention; limited backups may persist until overwritten. Life Mode will provide proportionate compliance information and cooperate with reasonable audits that protect other customers.

8. International processing

Where personal information is transferred outside the UK, Life Mode will use a lawful mechanism and require appropriate safeguards.

Independent review

These terms are incorporated into subscription acceptance for the controlled launch. A qualified UK legal professional must review them before they are represented as professionally approved or used for large-scale promotion.
